What to do when your child is sick

IMPORTANT ANNOUNCMENT:

 GEORGETOWN PEDIATRICS OFFICE CLOSURE

Dear Patients and Families,

After an incredible 57 years in practice we are very sad to announce that we are closing the Georgetown Pediatrics office.  Our last day will be on January 30, 2026.  This difficult decision was made due to the reduced insurance reimbursements, low patient volume, and increased operating costs. This makes it no longer a sustainable option for us to continue to keep the practice open.  It has been our absolute privilege to care for your children over the years and watch them grow.  We are deeply saddened by this turn of events and we will always be grateful to you and your families for being a part of our lives.  As we move forward, please know that we will do everything that we can to make this transition as easy as possible.  We will sincerely miss each and every one of you.

Continuity of Care

As we move toward the closing of the office, we will continue to see patients until January 30, 2026.  To ensure that your child(ren) continue to receive the highest standard of care after the closure of our office, we recommend contacting your insurance company for recommendations for other local providers who accept your insurance. This will help for you to begin your search for a new pediatrician who can best support your family’s needs.

Filing with Insurance

Due to the closing of the practice, and the way claims are submitted to the insurance carriers, unfortunately, beginning on January 15, 2026, we will no longer be able to accept or file any new insurance claims for any office visits.  Every patient with or without insurance will need to pay for their visit at the time of service.  You will be responsible for filing your claim directly with your insurance carrier.  We will however be offering a cash discount of 30% on the total cost (excluding vaccines) of your child(ren)’s visit.  For any vaccine that your child needs, we would suggest that you go to the health department or local Urgent Care to get them.  We understand that this may be a concern, but we will provide you all of the necessary paperwork that you need to file the claim with your insurance company.

Account Balances

Due to the closure of the practice all outstanding balances will be collected at the time of your visit.  If you unable to pay the outstanding balances, we will not be able to continue with your child’s appointment. If the balances have been moved to Collections, you will need to contact the Collection Agency and make arrangements to pay the balance.  We will then need the reference # in order to clear your account and re-book your child’s appointment.

Receiving Medical Records

As you establish new care for your child(ren) your new physician will need your child’s medical records. These records are available for a Medical Records Fee (details following). Each child(ren)’s records will be transferred to a downloadable thumb drive for you to keep and/or share with your new physician.  We will need a medical records release form (following) signed by a custodial parent or your child (if they are 18Y or older) no later than January 30th.  Please be assured that all medical records are confidential and protected by federal privacy and security regulations.  After we receive your signed authorization and records fees, please allow up to 72 hours for your request to be processed. We will contact you when your records are ready for pick up at our office. We will have pick up hours M-F from 3-5pm.  You must pick your records up at our office before the end of February, 2026 (no exceptions).

Medical Records Fees:

  • Basics – No charge (includes: immunizations and growth chart)   Pick up or email
  • Basic Plus - $25/1st child; $20/ea. additional child (includes: immunizations, last check-up, growth chart, Summary/Demographics if applicable and any ADHD/Specialist Info.) Pick up only                                       
  • Complete Chart - $35/1st child, $30/ea. additional child (includes: all available records) Pick up only

Please complete and sign the following records release form; call the office to pay any outstanding balances and to pay the records fee, then email, mail, fax or bring the form to the office M-F from 3-5pmPlease note:  All requests must be submitted no later than Friday, January 30th, 2026 at 5 p.m.
